Events Director

Position Description:

We are seeking a high performer with extensive experience in conference and event planning. Ideal candidate will work collaboratively with leadership, staff and external partners to conceptualize and execute the delivery of highly successful world class conference events and programs.

This position is responsible for strategic planning and execution of the organization’s conferences, meetings, events and webinars. The position serves as the primary liaison to leadership and internal subject matter experts, responsible for directing strategy, executing on the vision, and ensuring event success to help support the organization’s mission, vision and goals. The position is responsible for the leadership, supervision and development of the members of the Events team.  This position is located in Washington, DC.

Primary Duties and Responsibilities:

  • Works with senior leadership to develop a cohesive strategic plan for all events
  • Manages and oversees logistics and execution of organizational events and meetings to include, but not limited to:
    • Collaborates with internal teams responsible for content to conceptualize event and design event agenda to determine the appropriate structure for entire experience;
    • Works with external partners including meeting contractor to manage and execute site selection and hotel and supplier contracting for larger events;
    • Oversees speaker solicitation and development; serves as primary contact for program speakers including the coordination and review of session requirements and materials.
    • Creates strategy and project plan for marketing and sponsorship opportunities across all events;
    • Orchestrates event activities on-site to ensure seamless execution & makes real-time decisions and adjustments;
    • Anticipates member/customer needs on-site & proactively develops solutions to meet them
    • Collaborates with the PR and Marketing teams on branding, materials and promotions for all events;
    • Captures event evaluations, summarizes, & identifies enhancements/innovations for future events
    • Leads and facilitates all pre and post event planning and debrief meetings.
  • Provides guidance to the Leadership Team on both the tactical and content-driven coordination between all meetings.
  • Manages the Events calendar for the entire organization.
  • Ensures team is delivering exceptional member service, with well-run calls, responsive communications and effective support of events.
  • Ensures team is meeting metrics and deliverables regarding event.
  • Schedules regular meetings to review and debrief on all meeting progress, updates, development and execution (other items as necessary). 
  • Creates documents/templates for the team to use to ensure consistent messaging and delivery of services across the organization.
  • Keeps abreast of innovations that will provide unique event experiences.
  • Creative thinking in attracting attendees, generating new revenue streams and improving upon the attendee experience.
  • Promotes individual and team performance by setting expectations, delegating and directing others
  • Travel nationally and potentially internationally (~10% of time)

Qualifications:

  • Bachelor’s Degree in Hospitality Management, Communications, Marketing, Business or a related field required. 
  • Minimum fifteen years of experience as a senior level meeting professional. 
  • Any or all of the following certifications/professional memberships preferred:
    • MPI (Meeting Planners International) membership
    • CMP (Certified Meeting Professional)
  • Team player who thrives in a fast-paced and collaborative work environment
  • Strong proactive project management skills and experience managing budgets.
  • Comfortable working under pressure, balancing competing priorities and adapting quickly to a constantly changing environment. 
  • Strong attention to detail
  • Functioning well autonomously and as a team member.
  • Exceptional interpersonal, verbal and written communication skills with the ability to deliver clear and effective messages to various audiences and build strong relationships.
  • Strong negotiation skills with solid understanding of vendor contract terms and language and experience negotiating contracts.
  • Creative and resourceful.
  • A minimum of 5 years supervisory experience with demonstrated track record of success managing, developing and mentoring a cohesive team.
  • Promotes individual and team performance by setting expectations, delegating and directing others
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other computer software systems.
  • An understanding of online event registration and database management a plus.

Marketing & Communications Consultant (Contract Position)

The Business Group is comprised of over 440 members, mostly Fortune 500 companies, providing health care coverage for more than 50 million workers worldwide. 

Position Description:

We are seeking an innovative and experienced marketing and communications professional to guide the organization in the areas of marketing and content strategy. The ideal candidate is an enthusiastic, outgoing individual with a passion for collaborating and is committed to innovation, creativity and excellence. This position is a contract position. 

Primary Duties and Responsibilities:

  • Work across the organization to develop long-term marketing strategy, message platform and audience-specific integrated marketing and communication plans.
  • Responsible for content strategy, content marketing and production and overall governance for content use across all channels. Oversee voice, style and brand standards in marketing and communications. 
  • Evaluate performance of content marketing initiatives and provides strategic recommendations for new and existing initiatives.
  • Oversee workflow of marketing copy projects from ideation to distribution.
  • Ensure all content created supports user engagement goals.
  • Oversee social media strategy and presence. Direct social media efforts in support of organizational marketing priorities. Offer constructive interaction with users, and promote website content on social media; develop and administer social media content and campaigns that engage a range of audiences
  • Work with Event Management team to develop and drive event marketing to increase meeting awareness and corporate participation
  • Maintain effective internal communications to ensure that all staff members are kept informed of marketing objectives.
  • Play a collaborative role along with leadership to ensure that the full range of digital communications is leveraged in strategic ways that further the goals of projects and advance the broader strategic goals of the organization.
  • Help draft content, as needed, to support subject matter experts in how to best position content for targeted audience.

Qualifications:

  • Bachelor's degree required, preferably in marketing, communications, journalism, English or related field
  • 15+ years relevant professional experience in marketing, communications or editorial environment
  • Excellent judgment and strategic thinking abilities
  • Experience developing and maintaining a content strategy, and telling compelling brand stories across a variety of platforms
  • Experience developing content marketing strategies, including blogs
  • Excellent oral, written communication and presentation skills with acute attention to detail. Excellent editing and proofreading skills
  • Strong project management skills with the ability to assess processes to improve quality
  • Ability to develop strong relationships and build consensus with staff at all levels
  • Creativity and resourcefulness
  • Ability to thrive in fast paced, changing environment

Contract Requirements:

  • Candidates must be local to DC
  • 12-month contract with an opportunity for extension or conversion
  • Approximately 30-40 hours per week
