The Leave of Absence (LOA) Specialist is a subject matter expert on all types of leaves, including FMLA, state and local leave laws, company leave polices and ADAAA regulations. This position is responsible for understanding the end to end leave process and applicable policies for employees, the employee benefit procedures during an employee’s LOA, and responding to questions, escalations, and requests from HRBPs and/or the Third-Party Administrators. Leave plans and policies include, but are not limited to, Short Term Disability (STD), Family Medical Leave Act (FMLA), Military (USERRA), Workers Compensation (WC-FMLA), Employer Sponsor paid and unpaid LOAs, Interactive Process for Accommodation requests and State Leave laws across all Operating Companies throughout the US. The position is expected to have a working knowledge of SAP payroll processes (for both Exempt and Non-Exempt employees), data reporting, and Kronos time entries in order to resolve complex payroll issues and assist in auditing to ensure accurate payroll is processed.

Responsibilities: 

  • Audit Third-Party Administrator’s (TPA) end to end leave process, including applicable FMLA time tracking, FMLA notification compliance, and payroll files.
  • Act as liaison between TPA and HR to resolve complex payroll and leave inquiries and escalations and provide guidance on established processes.
  • Access TPA’s system(s) to research issues and provide in-depth responses and training to HR.
  • Assume Project Management duties for acquisitions and divestitures to identify plan enrollment, data conversion and ongoing leave processes.
  • Assist in performing daily and weekly audits of TPA’s inbound pay and leave hour files to ensure accuracy of pay and hours reported and available paid time off based on location specific policies.
  • Validate state disability calculations through audit process, providing resolution to any data errors.
  • Act as main point of contact to deliver ongoing training and education to HR regarding the TPA’s portal, leave and ADAAA processes.
  • Review and provide in-depth analysis of payroll issues, identify root cause and provide analysis of same, through internal case tracking system.
  • Trouble shoot Kronos or SAP entries that may not be accurate and provide recommendations on process improvements.
  • Perform other duties as assigned.

Requirements: 

  • Bachelor's degree preferred, specifically in Business, HRIS, Human Resources, or related field
  • 3+ years of HR, Benefits, Payroll and Leave Administration experience preferred, including an understanding payroll of STD/paid leave claims processing preferred
  • Knowledge of federal and state laws regarding ADAAA, FMLA, Military, and company leave policies for Parental, Personal, Sabbatical, and WC leaves required
  • Full understanding of LTD and STD plan designs and pay structure preferred
  • Payroll experience preferred, specifically in SAP and Kronos timekeeping system
  • Highly proficient in Microsoft Office applications such as Word, Excel, Outlook, and PowerPoint required
  • Experience using SAP, Kronos, and other HRIS or payroll system preferred
